In order to arrive as refreshed and ready as possible, I always pack for comfort and ease. Apple AirTags mean I don’t need to worry about losing my luggage, while a portable luggage scale ensures no surprises at check-in. A travel charger ensures you’ll never be without power, and headphones allow you to recharge mentally before the busy days ahead.
It’s also important to arrive looking my best: I take my event attire in a separate dress bag, and wear a silk sleep mask on the flight if it’s overnight. My Joanna Vargas face mask and Patchology lip gloss are little rituals of mine that have become non-negotiables.
Don’t make the mistake of thinking that travel time is downtime. Instead, remember that you can use this time wisely to maximize your potential as a planner. Not only can you be mentally preparing by running through checklists and plans, but you can also focus on professional development.
Travel time is never wasted time. Use long flights to mentally review timelines, visualize guest flow, or invest in your professional growth. Packing for a destination wedding is not simply about what fits in your suitcase. It is about anticipating needs, eliminating stressors, and creating an environment where your couple and their guests experience effortless joy.

First and foremost, umbrellas. One thing you cannot guarantee is the weather, even if your wedding event is in an exotic location that gets 365 days of sunshine a year. Always prepare for the eventuality that it might rain. These have saved the day too many times for me to count.
An indoor/outdoor thermometer is another useful tool to help monitor microclimates and adjust tenting accordingly. No one wants to be hot and sticky while enjoying the ceremony or cold during the dinner, so be mindful of it.
I’ve got a real eye for detail, which means I cannot stand uneven table settings. A string leveler helps me to ensure that ceremony chairs, tabletop glassware, and installations are perfectly aligned.
Safety is of course always front of mind when organizing events, which is why I find a carbon monoxide detector is a must-have. It just gives added peace of mind and eliminates doubt.
