By the time the Easton team arrived on site in Tuscany, the entire production team was already deeply aligned. In fact, the first pre-production meeting included more than 70 people, forming a large circle outdoors because no room could accommodate everyone.

That level of collaboration became one of the keys to the event’s success.

The hotel team quickly proposed something unusual: daily logistics meetings with Easton to review every detail of the weekend. Together they dissected each component, from transportation and catering to security and service flow.

These conversations allowed small but crucial decisions to be made.

For example, during one dinner service, the Italian staff planned to ask every guest whether they preferred still or sparkling water. A thoughtful gesture, but one that would have taken ten valuable minutes during a tightly timed service window due to local sound restrictions.

Lynn explained that most American guests would happily accept still water by default, eliminating the need for the question entirely.

Ten minutes saved. Service preserved.

Small insights like this are what happen when teams communicate openly and respect each other's expertise.

Another lesson Lynn often shares with hoteliers: involve the general manager.

In Europe, general managers are typically deeply engaged with wedding production. In the United States, planners may barely interact with them. Yet when leadership is involved, communication becomes clearer, and execution becomes stronger.

And beyond logistics, there is another principle that Easton believes in deeply:

From the earliest planning stages, Easton approaches every event with careful budget management and meticulous operational planning. For the Castiglion del Bosco wedding, that preparation extended even to vendor care.

Over the course of the event, more than 2,700 vendor meals were served. Lynn personally reviewed the food quality to ensure the team working behind the scenes was well taken care of.

When the first meal didn’t meet expectations, she spoke directly with the chefs.

That moment sent a message to the entire team: their work mattered.

Preparation also includes the tools planners rely on to manage complex logistics.
